Who is responsible?

Alessandro Venturi and Menaka Viswanathan operate Cogniflux and act as joint controllers for the personal data covered by this notice. We jointly decide how this information is collected and used and share responsibility for protecting it.

Our main privacy contact is studio@cognifluxlab.com. You can exercise your rights in relation to either controller.

What information we collect

When you contact us, we collect the details and information you provide, such as your name, email address, organisation and message.

When you tell us where you train, we collect your email address, city or town and country. Your first name and the name of your gym, studio or sports centre are optional.

We also keep records of your communication preferences, consent and any unsubscribe request.

Our hosting provider processes technical information needed to deliver and protect the website, such as IP addresses and request details.

Why we use it

Enquiries

We use your information to respond to your message and manage the resulting correspondence. We rely on our legitimate interest in answering enquiries and managing relationships. Where necessary, we also use it to take steps towards a contract at your request.

Interest registrations

We use the location and venue information you provide to understand where people would like to try Brain-Body Training and help plan future sessions. With your consent, we email you about opportunities to take part near you.

Cogniflux news

If you choose to receive general updates, we also use your contact details to send occasional Cogniflux news. This is based on consent.

Your email address and location are needed for nearby-session invitations. Other registration fields are optional. Registering interest does not book a class.

You can withdraw consent or unsubscribe at any time using the link in our emails or by contacting studio@cognifluxlab.com. Withdrawal does not affect processing lawfully carried out beforehand.

Website operation

We use necessary technical information to deliver the website and protect it against misuse, based on our legitimate interest in operating a secure website.

Website analytics

We use PostHog to understand which pages people visit, which sections and films they explore, and whether they use our contact and interest-registration options. Analytics runs without analytics cookies or a persistent browser identifier. PostHog uses technical information from the connection, including the IP address and browser user agent, to generate a visitor identifier that changes daily.

Heatmaps and session replay are disabled. Our website does not send your name, email address or form answers to PostHog.

You can turn off analytics for this browser (opens in a new tab) or remove this browser exclusion (opens in a new tab). The exclusion is saved in this browser until you remove it or clear site storage. Apply it separately to each browser or device you use. Any full opt-out saved through the previous analytics panel remains respected.

Who can access your information

Access is limited to us and the service providers needed to operate the website, handle submissions and communicate with you.

We use Netlify to host the website and process form submissions on our behalf. We also use email services to receive and respond to messages.

We do not sell our contact lists or share them with partners for their own marketing. We may disclose information where required by law.

Storage and protection

We use appropriate access controls and security measures to protect personal data.

Netlify may process information outside the European Economic Area, including in the United States. Its Data Processing Agreement sets out the applicable transfer arrangements and safeguards, including standard contractual clauses where required. You can contact us for information about these safeguards.

How long we keep information

We keep enquiry information for as long as needed to handle the correspondence and any resulting relationship.

We keep your registration details while your subscription remains active and we continue providing the communications you requested. We periodically review the list and remove information that is outdated or no longer needed.

When you unsubscribe or withdraw consent, we stop the relevant communications. We may retain a minimal record to respect your choice and limited records needed to demonstrate consent, meet legal obligations or handle legal claims.

Technical information is retained only for as long as needed to operate and protect the website.

Your rights

Depending on the circumstances, you can ask to access, correct or delete your personal data, restrict its use, receive it in a portable format, or object to processing based on legitimate interests. You can always object to direct marketing.

Contact studio@cognifluxlab.com to make a request. We may ask for limited information to verify your identity. We normally respond within one month and will explain if an extension is needed.

You can also complain to a data-protection authority, including the authority where you live or work. In Belgium, this is the Data Protection Authority: https://www.dataprotectionauthority.be/ (opens in a new tab).

Changes to this notice

We update this notice when our handling of personal data changes. The date above shows the latest version.
